Event Planning and Event Management are two concepts that are often used interchangeably although they are very different. Quite simply, organization and management are not the same. Although the skill sets of these two jobs overlap, they are still 2 separate jobs. For those who deal with clients, if they mistakenly think they need an event manager when what they need is an event organizer, they will cause big problems. Many clients also mistakenly believe that all event managers also organize events.


So, let's clarify these two concepts together because it is very important for you and your customers to understand in the same direction.

The events industry includes a wide variety of job titles and job descriptions. Briefly, there are event planners, meeting planners, event coordinators, conference planners, and event managers. The list seems endless. As the industry evolves, so does the list of job functions.



While job growth is always a good thing, the range of eventsevents and management job functions can be confusing for those new to the industry. Equally frustrating for seasoned professionals is having to deal with customers who misunderstand the services offered.


Event planning

Let's start with Event (event planning). The key keyword here is organization. All events - from weddings and birthdays to important business anniversaries, to large corporate gatherings - must start with some plan. Initial discussions with clients about event ideas, themes, desired dates, and budget constraints are all part of the event planning process.



Event organization starts at the beginning, from the very beginning of the concept and continues until the actual event takes place. And, to be honest, it can even last a few weeks after the event as event organizers have to summarize the details and process the follow-up entries. Event planning involves working closely with the client to design an event that reflects the client's vision of gathering and meeting the event's goals. The clients who hire an event planner are looking to hire someone to plan all aspects of the event, including related details and action items to completion.


Event planning responsibilities may include, but are not limited to:

Each type of event is made up of many pieces that fit together like puzzle pieces. All those pieces eventually come together to create an event. Successful events have all the parts that come together at the right time and in the right place, smoothly, efficiently and according to plan. This process is called event management. , Simply put, it's the project management of the event itself.


Event management involves creating, coordinating and managing all the different components of an event as well as the groups of people responsible for each aspect. Some aspects of event management may include, but are not limited to:

  • Booking space for an event

  • Coordination of outside vendors

  • Planning a parking spot

  • Designing an emergency contingency plan

  • Ensure compliance with health and safety standards

  • Manage staff responsible for each function

  • Monitor the performance of an event

Individual event organizers can provide event management services and event managers can also provide event planning. It all depends on the individual organizer or the corporate event management team, the venue and the event itself.


It is important to understand the difference between the two concepts to determine which service you will provide. Example: If you provide event planning services for a large-scale event, you will work with the event manager, who will coordinate your services with the catering manager, the audiovisual team , ...
